Hi Everyone,
While going for a meeting it is important that we take a minute to reflect on the instant decision. While taking minute is important this is some common mistake which we make while taking, this how you can avoid while taking one.
We can easily forget to record the quorum data in the meeting minute. If we forget to include this detail then minute will not be valid as it is a legal document for taking action.
We can avoid this mistake by taking the attendance before meeting and stating whether we have required a number to make a decision as required by the company law.
Secondly, a common mistake is to use the vague word to describe the action of the meeting. If it's vague and not straight forward it will not reflect the issues and resolution correctly
We can avoid this by using precise wording and not writing any vague decision taken during the meeting.
Thirdly, not distributing agenda before is a major mistake that we need to avoid as if we do not distribute agenda before hand, people will not have an idea about the meeting. If people don't have an idea of what they are taking the meeting will just be a conversation and no real out come will be achieved.
We can avoid this by preparing agenda before hand and send the copy to all the attendant of the meeting at least a day in advance. This will help them to prepare for the meeting and come up with ideas to speak for the meeting.
Now, let's move to the point how we can capture all the information and review them in the same day?
Firstly, to record the meeting one would be to take written notes and minutes. Similarly, we can record key points visible, such as on news print or a chalkboard. Lastly, the best way to record would be by using audio tape, but occasionally by videotape as well. This will be of great record and we can review it and listen to it at a later time.
